Will shipping and freight charges on Sage 50 invoices convert to QuickBooks?

Freight and shipping amounts generally do carry across with the invoices, though how each charge is mapped depends on how it was entered in your file.

In most files, yes. Freight and shipping amounts are part of the invoice, so they travel with it, and the balance a customer owes arrives in QuickBooks with those charges included. What varies is the shape each charge takes once it lands: its own line, a shipping item, or an amount inside a summarized total. That depends on how your Sage file stores the charge, so we verify it file by file.

Freight can sit on an invoice in two ways

Your file may hold the charge as a line item, an item named something like Freight or Delivery with its own amount. Some files also carry freight in a dedicated field on the invoice itself. The two are handled differently on the QuickBooks side, so our engineers identify which method your file uses before mapping anything. Neither method loses the amount; the choice only affects how the charge reads on the converted invoice.

Do open invoices keep their freight line?

For open invoices the goal is simple: each one lands in QuickBooks owing exactly what it owed in Sage, freight included. Where the file allows it, the charge keeps its own line, so the invoice your customer sees still shows shipping separately. Sometimes the cleaner mapping is a dedicated shipping item, and then only the presentation changes. We confirm the choice with you during every Sage 50 to QuickBooks conversion, because you know how your customers expect the invoice to read.

Does paid history keep the freight detail?

Here files differ the most. Some conversions bring closed history across as full invoices, line by line, and freight stays visible on every one. Others summarize closed periods into journal entries, where freight lives inside account totals instead of on a line. Both approaches are valid; they serve different needs. If you report on freight recovery by customer or by job, tell us early, because that requirement points to full transaction history.

A check worth running before you go live

Spot check before cutover. Pick a handful of invoices that carry freight, mix open with paid, and compare their totals in both systems. Then run the receivables aging report in Sage and in QuickBooks and compare the two. If the totals agree, the freight mapped correctly. If they do not, raise it while the original file is still at hand.

The next step is a free evaluation of your file. Send us the Sage backup and we will report where your freight sits, how we would map it, and quote the job before anything runs. The evaluation carries no obligation.
