Where does each piece land in QuickBooks?
- Customer balances come across as balances, built from what is still unpaid on the conversion date.
- Open invoices are rebuilt as QuickBooks invoices with their original dates, so the current, 30, 60, and 90 day aging buckets stay accurate.
- Applied payments are recorded so settled invoices show as paid, not as new receivables.
- Credit memos carry as credits against the customer, so nothing double counts.
The target is simple: every customer in QuickBooks owes exactly what they owed in Intacct on your cutoff date. Older, fully settled activity can travel transaction by transaction or as summarized journal entries. The balances end up identical either way. The difference is drill-down. With summaries you can see that a customer paid long ago, but not which invoices made up that payment.
How much history do you want to bring across?
That choice shapes the conversion more than anything else, and it is yours to make. Some organizations bring every transaction since day one, so QuickBooks becomes the complete record. Others start QuickBooks clean on a cutoff date and keep Intacct available for historical lookups. Both approaches work well. What rarely works is an unplanned middle ground. If you will report taxes or face audits from QuickBooks, full history is usually the safer path.
Getting your file ready
Before we start, run an accounts receivable aging summary in Intacct as of your cutoff date and keep a copy. After conversion, that report is your proof. Every customer total in QuickBooks should match it to the penny. A current customer list and a note of any unapplied payments or credits help too.
