The amounts that need to move
For the first pay run to be correct, QuickBooks needs each employee’s year-to-date gross wages by wage type, employee and employer taxes, and each deduction and contribution. Those figures drive pay stubs, quarterly wage reports, and the year-end forms. If they are missing, QuickBooks treats the year as though it started at zero, and every form after the switch understates what was paid. That is the failure mode a conversion has to prevent.
Does a mid-year cutover change things?
It does. A switch made between the first and last pay run of the year makes year-to-date data the whole point of the move. Depending on the file, our Sage 50 to QuickBooks conversion can rebuild the individual paychecks Sage recorded, or load year-to-date summary figures for each employee. How do you verify the first pay run?
Run the first payroll in QuickBooks and compare it to the last payroll register from Sage for every employee: gross wages, each tax, each deduction, net pay. Then run the quarterly wage report in QuickBooks and tie it to the matching report from Sage for the year so far. Any difference should trace to a named employee and a named field. If it does not, the year-to-date load has a problem, and it is cheaper to find before the quarter closes.
