Will My Sage 50 Serialized Inventory Convert to QuickBooks?
It depends on your target QuickBooks edition. Pro and Premier do not track serial numbers natively, while Enterprise with Advanced Inventory does.
It depends on which QuickBooks edition you are moving to. QuickBooks Pro and Premier have no native field for serial numbers on inventory items. QuickBooks Enterprise with Advanced Inventory does support serial number tracking, but only when that add-on module is enabled. The serial numbers in your Sage 50 file can be carried over, but how they land in QuickBooks depends on the edition you choose and how you want to use them. For a closer look at what the move involves, see our Sage 50 to QuickBooks conversion service.
Serial numbers in Pro and Premier
Pro and Premier track inventory quantity on hand, but they do not attach serial numbers to receipts, transfers, or shipments the way Sage 50 does. During a conversion, our engineers can move your serialized items into QuickBooks and preserve the serial numbers as data. The numbers will typically land in a custom field or a memo field rather than in a dedicated serial number column. That means you can see the numbers and search on them, but QuickBooks will not enforce serial number tracking at the point of sale or receipt. If your workflow depends on scanning or selecting a specific serial number when receiving or selling, Pro and Premier alone will not replicate that behavior without third-party add-ons.
Enterprise with Advanced Inventory
QuickBooks Enterprise with the Advanced Inventory add-on includes serial number tracking as a built-in feature. When that module is active, our engineers can map your Sage 50 serial numbers into the native serial number fields. The numbers then stay linked to the item through purchases, adjustments, and sales. QuickBooks will record which specific unit came in on a bill or invoice and which unit went out on a sales receipt or invoice. If you need true serialized inventory tracking in QuickBooks, this is the edition that supports it. Note that Advanced Inventory is an additional subscription on top of Enterprise, so factor that into your cost comparison.
Evaluating your file
The outcome depends on the structure of your Sage 50 file. Some companies store serial numbers at the item level, others at the transaction level, and the detail varies from file to file. The number of serialized items, the transaction history attached to them, and whether you use lot numbers alongside serial numbers all affect the conversion. Rather than guess, we review the file first. Send us your company file for a free evaluation, and we will tell you exactly what will carry over and which QuickBooks edition fits your inventory workflow.
