Will Sage 50 sales rep assignments and territories convert to QuickBooks?
It depends on the file and the QuickBooks edition, but rep assignments can usually be carried over or rebuilt; territories need a different approach.
Sales rep assignments often can be brought across, but the answer depends on your file and your destination edition. QuickBooks Desktop has a sales rep field on invoices and other sales forms, and a Sage 50 rep can map to it. Territories are a different matter: QuickBooks has no true territory concept, so that part usually has to be rebuilt another way.
How reps map across
In Sage 50, a sales rep is a named record attached to customers and transactions. QuickBooks Desktop stores sales reps as names on a list, and each rep can be linked to a vendor or employee record. During conversion, our engineers map each Sage rep to a QuickBooks sales rep and carry the assignment onto the customer records and the historical sales transactions where the file supports it.
Whether every historical transaction keeps its rep depends on the file. Some conversions carry the rep on open transactions and new customer defaults, while older history may come across summarized. We evaluate that per file rather than guess.
What happens to territories
QuickBooks Desktop does not have territories as a built-in feature. If your Sage 50 setup uses territories to group customers by region, the usual workaround is to encode the territory in the customer record. Common approaches include a customer type, a custom field, or a prefix in the customer name. Reports can then filter on that value.
If you are moving to QuickBooks Online instead, the situation is similar. Reps and regions can be represented with custom fields or tags, but there is no direct territory feature. Which option fits best depends on how you report on territories today, and we can advise on that during the conversion.
What to do before the conversion
A little preparation makes the rep data cleaner on the other side. Review your Sage rep list and retire any reps who are no longer active, since unused names carry clutter into QuickBooks. Note how you currently report by territory, so the replacement design matches the reports you actually run.
