Will Sage 50 inventory items and quantities convert to QuickBooks?

Yes: item lists, quantities on hand, and cost basis can move from Sage 50 into QuickBooks, with the on-hand value matched at the cutoff date.

Yes, in nearly all of the Sage 50 to QuickBooks conversions we handle. The inventory item list, the quantities on hand, and a cost basis for each item can all move across. The on-hand value can be made to agree with your Sage balance sheet at the cutoff date you choose. How much lands cleanly depends on the file, so we evaluate it before quoting anything.

The item list

Each stock item in Sage 50 becomes an inventory item in QuickBooks. The item number or ID maps to the item name, and the description and sales price follow it. Units of measure and very long item identifiers sometimes need adjustment, because the two programs handle them differently. Our engineers flag those during the review instead of letting them fail silently.

Quantities on hand

Quantities convert as of a cutoff date, usually your fiscal year end or the last closed period. The number that moves is the on-hand figure at that date, not the full transaction history behind it. Whether history comes across at all is a separate decision; many readers keep Sage as the archive and start QuickBooks with opening balances.

Cost and valuation

QuickBooks Desktop values stock at average cost, and QuickBooks Online uses FIFO. If your Sage file matches the target, per-item costs line up on their own. If it doesn’t, we set the opening quantity and cost so the Inventory Asset total still equals the Sage figure at the cutoff. The balance sheet then ties out on day one, even where the per-item basis differs.

Items that need a closer look

Assemblies, subassemblies, and serialized or lot-tracked stock do not map one to one, so they need extra handling. Items with negative quantities, zero costs, or duplicate numbers also cause trouble once they land in QuickBooks. None of this stops the job. It just has to be handled deliberately, and the evaluation surfaces it early.

The next step for your file

The only way to know what your inventory will look like is to examine your actual file. Send it over for a free evaluation and our engineers will report what converts cleanly and what needs work. Cost and timing depend on the file, so we quote per job after that review.
