Will my Sage 50 employee records and vendor 1099 setup convert to QuickBooks Payroll?

Yes, in most cases your employee records and vendor 1099 information can be brought over when converting Sage 50 to QuickBooks, but payroll itself does not convert as a working system. You will need to set up (or re-enroll in) QuickBooks Payroll and reconnect your employees to it after the conversion.

What typically carries over

The employee list itself, names, addresses, Social Security or social insurance numbers, and similar identifying details, is standard list data, and list data is the most reliable part of any Sage 50 to QuickBooks conversion. Vendor records, including vendors flagged as 1099 eligible with their tax IDs, also generally transfer as part of the vendor list.

What is less predictable is the payroll-specific configuration: wage and deduction items, tax settings, direct deposit details, and year-to-date wage amounts. Whether those convert cleanly, and how much history comes across, depends on the structure of your Sage file, the QuickBooks edition and payroll service you are moving to, and where you are in the tax year. Payroll history vs. payroll setup

It helps to separate two things:

Setup can usually be rebuilt or mapped during conversion. History is more delicate, and mid-year conversions in particular require care so that W-2s and 1099s at year end reflect the full picture. If history cannot be carried in full, a common approach is to enter summarized year-to-date figures per employee rather than individual past paychecks. Re-enrolling in QuickBooks Payroll

QuickBooks Payroll is a separate subscription from QuickBooks itself. After the conversion, you will need to:

  1. Activate a QuickBooks Payroll subscription (Desktop or Online, depending on where you landed).
  2. Verify each employee’s profile, wage items, and tax withholding settings.
  3. Confirm or re-enter year-to-date amounts so the first payroll run in QuickBooks produces correct totals.
  4. Review vendor 1099 eligibility flags and tax IDs before the 1099 filing season.

Vendor 1099 specifics

The 1099 checkbox and tax ID on each vendor normally transfer with the vendor list. What does not transfer automatically is the mapping of 1099 boxes to expense accounts, since Sage and QuickBooks handle that mapping differently. Plan to review the 1099 mapping in QuickBooks preferences after conversion, and run a test 1099 report before filing season rather than discovering a mismatch in January.
