Will my Sage 50 budget data convert to QuickBooks?

Budgets usually do not transfer automatically in a Sage 50 conversion, but they can often be rebuilt or mapped manually into QuickBooks.


Budgets are usually the weak spot in a Sage 50 to QuickBooks conversion. In most cases they do not carry over as part of a standard conversion, because the two programs store budget data differently and the conversion path focuses on lists, balances, and transaction history. Whether your specific budgets can be moved depends on your file, and we are happy to evaluate it before anyone commits to anything.

Why budgets are different from the rest of your data

Transactions, chart of accounts, customers, and vendors have clear counterparts in QuickBooks, so a conversion maps them directly. Budgets are stored as a separate layer in Sage 50, tied to its own fiscal structure. QuickBooks keeps budgets in its own format, one per fiscal year, organized by account and period. There is no clean one-to-one bridge between the two, which is why most conversions leave budgets behind.

How budgets work once you are in QuickBooks

QuickBooks lets you set up a budget per fiscal year, by month or by quarter, for profit and loss accounts and for balance sheet accounts. If your Sage 50 budgets exist as numbers we can extract, our engineers can often rebuild them in QuickBooks as part of the conversion, or hand you a clean worksheet you can enter yourself. If the budget structure is simple, a few accounts and twelve monthly columns, manual entry is usually quick.

Options for rebuilding budgets manually

If the budgets cannot be extracted from your file, the practical route is to export or print them from Sage 50 before the conversion, then re-enter them in QuickBooks. Keep a copy of each year’s budget by account and period. Once the numbers are in QuickBooks, its budget reports and budget-versus-actual comparisons work as you would expect. If you have many years or many accounts, that manual work adds up, and it may be worth having us do the rebuild instead.

Pull your budget reports out of Sage 50 first, while the file is still open and healthy. That gives you a reference no matter what the conversion carries.
