Will customer notes and vendor memos convert from Sage 50 to QuickBooks?
Usually yes: record-level notes and memos can be carried into QuickBooks, though where each field lands depends on your file.
In most files, yes. Notes attached to your customer and vendor records can be carried across, and transaction memos often can too. What varies is the placement, because the two programs do not line their note fields up one to one. The exact mapping depends on your file, so we confirm it with a free evaluation before any conversion runs.
Sage keeps notes in more than one spot
Sage 50 stores free-form text at two levels. Customer and vendor records each carry a notes field, used for things like payment habits, shipping preferences, or background on a contact. Transactions hold memo text of their own; a memo on an invoice describes that invoice, not the customer behind it.
That split matters for a conversion. A record-level note and a transaction memo are not interchangeable, so each has to be routed to the right kind of field on the QuickBooks side.
QuickBooks has note fields of its own
QuickBooks gives every customer and vendor profile a Notes area, and its transactions carry memo lines as well. Most of the text Sage holds therefore has a natural landing spot. The catch is shape. A profile note is background text you see when you open the record; a transaction memo can print on forms and appear on reports. Text placed in the wrong one is not lost, but it will not be where you expect to find it.
The mapping limits we work within
Three limits decide the outcome. Fit comes first: the two programs set different caps on field length, so a long note may need trimming or splitting. Count comes second: some files hold more note fields per record than QuickBooks has slots for.
The extras must be combined or consciously left behind, never dropped silently. Level is the third limit: notes attached at a finer level than the customer or vendor, such as to one contact or address, may lack a matching home. Our engineers test all three against your file as the first step of our Sage 50 to QuickBooks conversion.
Can the mapping be checked before you commit?
Yes. Send us the Sage file, or a backup of it, and we will run a free evaluation. You get a plain report: which note fields carry, where each one lands, and what we propose for anything that does not fit. If a field cannot be moved cleanly, we say so rather than guess. Cost and timing are quoted only after we have seen the file, since both depend on its size and condition.
A useful way to test the waters: name the five customers whose notes matter most to you, and ask us to show you those records after a trial pass. Seeing your real text in its final spot tells you more than any field list can.
