Which reports should I save from Sage 50 before converting to QuickBooks?

Save the final trial balance, aged receivables and payables, payroll summaries, and an inventory valuation to check your books after the move.


Save five reports before anything leaves Sage 50: the final trial balance, aged receivables, aged payables, payroll summaries, and an inventory valuation. Run them all as of your cutover date. They become the checklist you use to prove the converted QuickBooks file agrees with the old books.

The trial balance comes first

Run the trial balance as of the conversion date. It shows every account balance, and total debits must equal total credits. After the move, run the same report in QuickBooks and compare it line by line. Any account that does not match points you straight at the problem.

Aged receivables and payables

Print the aged receivables for customers and the aged payables for vendors, both as of the cutover date. Every open invoice and bill should appear on one of them. Keep detail versions rather than summaries, so each balance is itemized. These reports are how you confirm that opening balances in QuickBooks match what Sage said you were owed and owing.

Payroll summaries for a mid-year move

If you convert partway through the year, save year-to-date wage, tax, and deduction totals for each employee, plus the quarterly summaries. How much of that detail moves into QuickBooks depends on the file and the edition you are moving to. The reports are the authoritative record either way. They are also the safest basis for checking the first payroll run in the new file.

Inventory valuation

Print the inventory valuation showing each item’s quantity on hand, cost, and extended value. The total should tie to the Inventory Asset account on your trial balance. Inventory is a common place for a converted file to disagree with the old books. This report lets you catch a mismatch early, while it is still easy to trace.

Do the reports replace a backup?

No. Keep your final Sage backup and any archive copy as the complete record. The reports are the fast reference you will actually use on conversion day, when a balance needs confirming in seconds. Export each one to PDF, and to Excel where the report allows it, and store the copies outside Sage.
