Payroll history is one of the trickier parts of a Sage 50 to QuickBooks conversion, and the honest answer is that it depends — on which QuickBooks product you are moving to, what level of payroll detail you need to preserve, and what is actually in your Sage file.
Payroll vs. general ledger
When we convert a Sage 50 company to QuickBooks, the general ledger — chart of accounts, balances, customer and vendor records, and historical transactions — is one thing. Payroll is another. Payroll data in Sage 50 (US Peachtree or Canadian Simply Accounting) includes employee profiles, year-to-date earnings, tax withholdings, deductions, and paycheck detail. QuickBooks stores payroll differently, and the two systems do not map cleanly on a field-by-field basis.
What typically carries over
In most conversions, we can bring over employee records and summary-level payroll history — things like year-to-date wage and tax totals per employee. Detailed paycheck-level history (individual pay stubs, per-check tax breakdowns) is harder to move and depends on the target product. QuickBooks Desktop with an active payroll subscription gives you more options than QuickBooks Online, which has stricter limitations on importing historical payroll detail.
Why it matters which QuickBooks you choose
If you need full paycheck detail for audit or compliance reasons, that requirement shapes the conversion plan. If you only need accurate year-to-year totals so that W-2s and T4s are correct at year end, the approach is different.
