You cannot turn on or off serialization for an item" in multi-user mode
Sage 50 blocks changing an item's serialized setting while other users have the company open; switch to single-user mode first.
The message “You cannot turn on or off serialization for an item when your company is in multi-user mode” is a guard, not an error. Sage 50 is telling you that the change you just tried to make, turning serialized tracking on or off for an inventory item, is only allowed when you are the sole user of the company. Nothing is broken. The software simply refuses to make this particular structural change while other workstations may have the same data open.
What serialization means here
A serialized item is one you track by individual unit, each with its own serial number. A laptop or a piece of machinery is serialized; a box of screws is not. Whether an item is serialized affects how quantities, receipts, and sales are recorded at a structural level. That is why the setting cannot be flipped casually.
Why the software blocks it in multi-user mode
Changing serialization rewrites how the item’s records are stored and validated. If another user were entering a receipt or an invoice for that same item at the moment of the change, the two operations could conflict and leave the item’s history inconsistent. Sage 50 avoids the risk by requiring exclusive access. It is the same reasoning behind other structure-level changes in accounting software: the safer the change, the fewer people who can be in the file.
How to make the change
Close the item window, then have everyone else exit Sage 50 or disconnect from the company. Once you are the only user, reopen the item and change the serialization setting. If you are not sure whether others are still connected, ask around before you start, because the message will reappear as long as anyone else has the company open. After the change is saved, others can log back in.
If the setting will not change even in single-user mode
Occasionally the toggle stays unavailable, or the item’s history refuses to accept the change, even when you are the only user. That usually points to existing transactions on the item that conflict with the new setting, or to damage in the item records themselves. Do not force it by deleting history. Our engineers handle this kind of structural repair on Sage 50 data, and we can look at your file and tell you what is actually blocking it. There is no charge for the evaluation, and cost and timing depend entirely on the file.
If the real goal is moving the data
Sometimes this message surfaces during a bigger project, such as migrating Sage 50 data to QuickBooks, where serialized inventory needs special handling. If that is your situation, see our Sage 50 to QuickBooks conversion service for how serialized items are carried across. For a damaged Sage 50 database, our Sage 50 database repair service covers item-level corruption of this kind.
If the toggle still refuses to move after you have exclusive access, send us the file for a free evaluation rather than working around it.
