You cannot remove the password for the administrator (sysadmin)" in Sage 50
Sage 50 blocks you from deleting the sysadmin password outright; here is what the rule means and how to work around it.
The message “You cannot remove the password for the administrator (sysadmin).” is Sage 50’s way of saying that the built-in administrator account must always keep a password. You are not being told your password is wrong, or that the file is damaged. You are being told that the program will not let the sysadmin user exist without one.
What the rule actually protects
The sysadmin account is the master login for the company file. It can create and delete users, change security settings, and see every transaction. Because it sits above all other logins, Sage 50 refuses to leave it unprotected. Removing its password would leave the file open to anyone with access to the computer, so the software simply does not offer that option.
Change the password instead of removing it
If your goal is a simpler login, change the sysadmin password to something short that you type each session. That satisfies the rule and still keeps the account protected. You can also create a separate user for daily work, with only the permissions that user needs, and reserve sysadmin for administrative tasks. Most day-to-day work does not require the administrator login at all.
If you have forgotten the sysadmin password
This is the situation where the message tends to cause real trouble. You may be trying to clear a password you can no longer recall, and the software will not cooperate. That is by design, not a fault in your file.
The recovery route depends on the file: which version of Sage 50 created it, whether it uses the older or newer security scheme, and whether you still have the original user name. Guessing at third-party reset tools can make things worse, particularly on files that also have data issues, so we do not recommend that path.
Our engineers recover or remove lost Sage 50 administrator passwords as a routine service. If you are locked out of the sysadmin account, see our password recovery service for accounting data files, and we will tell you after a free look at the file what is possible.
If the file is damaged as well
Occasionally this message appears alongside other symptoms: slow opening, errors on backup, or users that fail to log in at all. In that case the password screen is a symptom, not the cause, and the database itself needs attention. Our Sage 50 database repair service handles damaged Simply Accounting and Sage 50 files, and a free evaluation will show whether repair is needed before anyone touches the password.
A sensible next step
Stop trying to delete the password; the program will keep refusing. Instead, decide which situation you are in: you know the password and want a simpler login, or you are locked out. For the first, change the password or add a daily-use user. For the second, send us the file for a free evaluation and we will quote the recovery before any work begins.
