Sage 50 blocks you from entering a negative amount when releasing retainage on an invoice, because retainage release belongs on a separate transaction.


When Sage 50 tells you “You cannot invoice negative values for Release Retainage from this window,” it is enforcing a structural rule: retainage held back on a prior invoice must be released through a dedicated retainage-release entry, not by typing a negative line on a standard sales invoice. The program sees the negative figure, recognizes it as a retainage action, and stops the save because the current screen is not the correct transaction type for that operation.

What “Release Retainage” means in Sage 50

Retainage is a percentage (commonly 10%) withheld from a progress billing until a project reaches completion or a milestone. When you originally invoiced the job, Sage 50 split the billing into two parts: the amount due now and the retainage held back. Releasing retainage means billing the held portion so the customer owes it. Sage 50 tracks that held amount separately and expects you to draw it down through its own process — not by netting a negative number against a new invoice.

Why the negative value fails

On a standard Sales/Invoicing screen, Sage 50 expects positive line items. When you enter a negative amount and the system detects that the line relates to retainage, it refuses the entry because the screen has no mechanism to post the offset correctly against the retained balance. The result is this message, and the invoice will not save until the negative line is removed or replaced with the proper retainage-release method.

Steps to release retainage correctly

The exact menu labels vary by edition (Peachtree US, Simply Accounting Canada, and current Sage 50 releases use slightly different wording), but the general approach is:

  1. Open the same customer and job where retainage was originally held.
  2. Go to the retainage release function — in most editions this is found under Tasks or the Sales/Invoicing area, listed as Release Retainage or Release Retainage/Holdback.
  3. Select the original invoice (or invoices) that have outstanding held retainage.
  4. Enter the amount or percentage of retainage you are now billing.
  5. Sage 50 generates the release entry, reducing the held-retainage balance and creating the receivable for the released amount.

If you cannot locate the retainage-release option, it may depend on whether retainage was enabled when the original invoice was posted. A job set up without retainage tracking will not have a stored held balance to release, and no release screen will appear for it.

If the data looks wrong

Sometimes this message appears because the retainage figures on prior invoices are corrupted or out of balance — the held amount does not match what was actually posted, so the release screen cannot function.
