Sage 50 error: "cannot convert a Quote" with job Billing Method not equal to Percent of

Sage 50 blocks converting a quote when a line item points to a job whose billing method is not Percent of Proposal or No Progress Billing.

The message reads:

“You cannot convert a Quote that has line items applied to a job whose Billing Method is not equal to Percent of Proposal or No Progress Billing.”

In plain terms, you are trying to turn a quote into something else, most likely an actual invoice or a sales order, and Sage 50 is refusing. The quote has line items charged to a job, and that job is set up for progress billing in a style the conversion cannot carry across. It is a setup conflict, not a damaged file. The quote itself is usually fine.

What the message actually means

Sage 50 tracks job billing in several ways. Two of them, Percent of Proposal and No Progress Billing, convert cleanly. The others, which bill by milestones, by units completed, or by other progress methods, do not map onto the document you are converting to. Rather than produce an invoice that bills the job incorrectly, Sage 50 stops and tells you why.

The wording is confusing because “convert” sounds like a file conversion. Here it just means changing the quote into another transaction type inside your company.

How to check the job’s billing method

Open the job record the line items point to and look at its billing method setting. If it is set to a progress billing method other than Percent of Proposal, that is your culprit. Exactly where the setting lives depends on your Sage 50 edition and release, so we will not guess at a menu path.

What you can do about it

The safest options, in order:

  1. Leave the quote as a quote. If the job genuinely bills by milestones or units, the quote may be doing its job already. Bill the job through your normal progress billing flow instead of converting the quote.
  2. Change the job’s billing method. If the job does not truly need the other progress method, switch it to No Progress Billing or Percent of Proposal, then retry the conversion. Only do this if no billing history depends on the old setting.
  3. Recreate the document manually. Open the quote for reference and enter the invoice by hand, applying the lines to the job the way you actually bill it. Slow, but it never risks the data.
  4. Remove the job from the line items. If the job assignment was incidental, clearing it may let the conversion proceed. You lose job-level reporting on those lines.

When the file itself needs attention

Occasionally this message appears on quotes that should convert cleanly, or it appears alongside other odd behavior after a data problem or a botched conversion. In that case the job record or the quote may be internally inconsistent, and no setting change will fix it. That is a data repair problem, not a setup problem.

If you are converting your Sage 50 data to QuickBooks and this error is blocking the move, it is a known friction point. Our engineers handle it as part of a Sage 50 to QuickBooks conversion, and Canadian users can see the Simply Accounting to QuickBooks conversion page.

A useful next step

Before changing anything, make a fresh backup of your company file. Then check the job’s billing method against what the job actually needs. If the message persists on a job that should convert, send us the file for a free evaluation. We will tell you what is wrong and what a fix involves, with no obligation.
