Sage 50 is refusing to mark some reconciliation items as cleared, usually because of a date, balance, or data problem.


The message “You cannot change the status of some of these transactions to Cleared” appears during bank or credit card reconciliation in Sage 50. It means Sage 50 rejected your attempt to tick one or more transactions as cleared. The wording is vague, but the cause is usually specific: at least one selected transaction does not qualify for clearing in the reconciliation you have open.

What the message actually means

Sage 50 will only mark a transaction as cleared if it fits the reconciliation window you are working in. A transaction dated outside the statement period, a transaction already cleared in a different reconciliation, or a transaction whose status conflicts with the account’s current state will be refused. The software is protecting the reconciliation, not reporting a crash. In most cases one or two specific rows are the problem, and the rest of your selections went through.

Check the transaction dates first

The most common cause is a date mismatch. If a transaction is dated after the statement ending date, or before the beginning date of the reconciliation, Sage 50 will not clear it. Review the rows you selected and compare each date against the statement period. Clear the offending rows, finish the reconciliation, and handle the stray items in the period they belong to.

Look for transactions already cleared

A transaction that was cleared in a previous reconciliation cannot be cleared again. If a prior reconciliation was undone, or a transaction was voided and re-entered, its status can conflict with what the current window expects. Open the account register and check the cleared column for the items you selected. Anything already showing as cleared should be left alone.

Damaged data can also block clearing

Sometimes the dates and statuses are all correct and the message still appears. That points to damage inside the company file itself: a broken link between a transaction and the account, or a corrupted reconciliation record.
