Sage 50 item "cannot be removed until time slip lookup data is cleared
Sage 50 blocks deleting an item because a time slip, or leftover time slip lookup data, still points to that item.
You were trying to delete an item, and Sage 50 stopped you with this:
This item is currently being used in a time slip and cannot be removed until time slip lookup data is cleared.
In plain language: somewhere in your company file, a time slip still points at this item, or Sage 50 believes one does. Time slips are the entries that record hours worked against customers, jobs, or activities, and an item can be attached to a slip so the time bills at the right rate. The “lookup data” is the set of saved references Sage 50 keeps so time slips can find the items they use. Those references do not always disappear when you expect them to, and until Sage 50 sees them as cleared, the item stays locked.
Why it happens
Three situations produce this message:
- A real time slip, posted or unposted, current or historical, uses the item.
- The time slips were deleted at some point, but the lookup references behind them were never cleared.
- The lookup data is stale or damaged, so the block comes from a reference that no longer matches any slip you can actually see.
The first is normal program behavior. The second and third are file-level issues, and retrying the deletion will not fix them.
Start with the time slips themselves
Make a fresh backup before changing anything. Then search your time slips for the item, using the time slip list or time reports your version provides. If you find slips that reference the item and they are genuinely not needed, delete or edit them, then try removing the item again.
Be careful with historical slips. If the time has been invoiced or feeds job costing, deleting the slip changes that history, and that is usually a worse outcome than keeping the item.
Consider making the item inactive instead
If the slips are legitimate history, you rarely need to delete the item at all. Marking it inactive keeps every past transaction intact while stopping the item from being selected going forward. For most books this is the cleaner answer, and it is the one we recommend when the history still matters.
When no time slip actually uses the item
If your searches come up empty and the message still appears, the lookup data itself is the problem. The saved references are out of step with the visible slips, and that is staleness or damage inside the company file. Reinstalling the software or recreating the item will not clear it, because the block lives in the data, not in the program.
