Sage 50: "The transaction line inventory item is not valid
Sage 50 cannot match an inventory item on a transaction line to a valid item record, blocking the entry from posting or saving.
When Sage 50 tells you “The transaction line inventory item is not valid,” it means the program cannot reconcile the item referenced on that transaction line with a usable item record in the current company file. The item may have been deleted, made inactive in a way that blocks its use, renamed, or the internal link between the transaction and the item record may be broken. In some cases the item still appears in lists but its underlying data is damaged enough that Sage 50 refuses to accept it on a new or existing transaction.
Check whether the item still exists and is active
Open the inventory items list and search for the item by its ID or description. If the item is missing entirely, it was deleted or the company file has lost the record. If the item is present but flagged inactive, reactivating it may allow the transaction to proceed. If the item was renamed, the transaction may be referencing an old identifier that no longer resolves.
Try re-entering the transaction line
Remove the problematic line from the transaction and re-enter the item manually by selecting it from the current item list rather than relying on a saved, copied, or imported transaction. If the error disappears, the original transaction was carrying a stale or corrupted item reference. Re-entering from scratch forces Sage 50 to use the current item data.
Restore from a backup made before the problem appeared
If the item record itself is damaged or missing and you have a recent backup, restoring the backup is the safest path. Compare the item list in the backup against your current file to confirm what changed. This avoids further data inconsistency.
When the file itself is damaged
If the item exists, is active, and still produces this error on every transaction, the company file’s item data or transaction tables are likely corrupted. Continuing to work in the file can spread the inconsistency to other records.
