Allow duplicate values" cannot be disabled — duplicate Part Numbers
Sage 50 is blocking you from turning off duplicate part numbers because items sharing a vendor already have identical part numbers.
You are seeing this message because Sage 50 will not let you enforce unique part numbers until the duplicates already in your item list are cleaned up first.
The “Allow duplicate values” option cannot be disabled while items with the same Preferred Vendor have duplicate Part Numbers.
In plain terms, your company file currently allows more than one inventory item to share the same part number, and at some point duplicates were created. Now you are trying to lock that down — probably to improve ordering accuracy or prepare for a data conversion — and Sage 50 is refusing until every collision is resolved.
Why it happens
Sage 50 tracks part numbers within the scope of each preferred vendor. When the “Allow duplicate values” setting is on, nothing stops two or more items from carrying the same part number for the same vendor. Turning the setting off tells Sage 50 to enforce uniqueness going forward, but it first checks the existing data. If it finds even one set of items that collide, it blocks the change entirely rather than letting you create a partially enforced rule.
Common causes include items imported from a spreadsheet where part numbers were not unique, items duplicated during a data migration, or part numbers that were left blank on multiple items (blank matches blank, so several blank part numbers count as duplicates).
Find and fix the duplicates yourself
The safest approach is to resolve the collisions before changing the setting. Open your item list and sort or filter by Preferred Vendor, then look for repeated part numbers within each vendor group. For each set of duplicates, either assign a unique part number or merge the items if they are truly the same product. Pay special attention to items with blank part numbers — even one blank duplicate will block you.
If your item list is large, exporting it to a spreadsheet, sorting by vendor and part number, and highlighting duplicates is usually faster than scrolling through Sage 50 directly.
When the list is too large or the duplicates are tangled
If you have hundreds or thousands of items, or if the duplicates are entangled with transaction history that makes merging risky, manual cleanup may not be practical.
