Sage 50 cannot detect a retained earnings account

Sage 50 is looking for the account that holds year-end profit and loss balances and cannot find one in your chart of accounts.


When Sage 50 shows “Sage 50 cannot detect a retained earnings account within your chart of accounts,” it means the program is trying to close out a fiscal year — rolling net income into an equity account — and the account it needs to post that entry to is either missing from the chart of accounts, not flagged with the correct account type, or has become disconnected from the company file’s internal configuration. The retained earnings account is structural: Sage 50 expects exactly one account in the chart of accounts to carry that designation, and year-end closing routines depend on it.

Why this happens

The most common cause is that the retained earnings account was deleted, renamed in a way that broke its internal link, or never properly assigned when the company file was originally created. It can also happen after a data corruption event damages the chart-of-accounts structure, or after a botched import or conversion that brought transactions across but dropped the account-type flags that tell Sage 50 which account serves as retained earnings.

Check the chart of accounts

Open the chart of accounts and look for an equity account that should be serving as retained earnings. If it exists but is categorized as a generic equity account rather than retained earnings, correcting the account type may resolve the issue — though the exact steps depend on your Sage 50 edition and whether the account has existing postings. If the account is missing entirely, creating a new equity account and designating it as retained earnings is the logical next step, but proceed carefully: if the file has data damage, adding accounts can compound the problem.

Run a backup first

Before making any changes to the chart of accounts, create a backup of the company file. If the missing retained earnings account is a symptom of deeper structural damage, you will want a clean restore point.

When the file needs professional attention

If the account is present and correctly typed but Sage 50 still cannot detect it, or if the chart of accounts itself is behaving erratically — accounts disappearing, balances shifting, or errors appearing when you try to edit — the company file likely has structural damage that simple account maintenance will not fix.
