Once your data has been upgraded, you cannot open your data in Simply Accounting Basic
Simply Accounting is warning that the upgrade to Pro is permanent, and your file will no longer open in the Basic edition.
You are seeing this message:
“Once your data has been upgraded, you cannot open your data in Simply Accounting Basic and must stay in Simply Accounting Pro.”
In plain terms, the software is telling you that the step you are about to take is one-way. Once your company file is upgraded to the Pro format, the Basic edition can no longer open it. This is not a temporary state or a setting you can reverse later. The file format changes during the upgrade, and Basic simply cannot read the newer format.
Why the upgrade cannot be undone
Accounting programs store data in a format tied to the version and edition that created it. Newer editions can open older formats, but not the other way around. When Simply Accounting Pro upgrades your file, it rewrites the internal structure to match Pro’s capabilities. Features that Basic does not understand may be added to that structure. Basic has no way to interpret them, so it refuses to open the file rather than risk corrupting it.
This is the same one-way rule you see with version upgrades generally. A file opened in a newer release is permanently converted, and going back requires either an untouched backup from before the upgrade or a professional downgrade service.
What to check before you continue
If you have not yet clicked through the upgrade, stop and make a backup first. Copy the backup somewhere safe, outside the folder the program works in. That backup is your only way back to Basic if you change your mind, because it still contains the old format.
Also confirm you actually need Pro. If you are upgrading only to open a file someone else sent you, or to test a feature, consider whether a different approach would work better. Once the upgrade runs, the decision is made for you.
Can you go back to Basic after upgrading?
Not by any built-in means. Simply Accounting has no command to convert a file back down to Basic. Your options are:
- Restore the pre-upgrade backup, if you made one, and re-enter anything recorded since.

- Move to a different product entirely, such as converting the data to QuickBooks, which sidesteps the edition question altogether.
