Sage 50 "No more space for the data file - disk out of room

The message means the drive holding your Sage 50 company data is full, or the file hit a size limit, so Sage cannot save.

You are seeing this message:

No more space for the data file - disk out of room.

In plain terms, Sage 50 tried to write to your company data and could not, because the storage it needs is not available. Sometimes that really does mean the disk is full. Just as often, the disk has room but the data file itself has grown too large for Sage 50 to extend it any further, and the program reports the problem as a disk-space error. Either way, the important thing is to stop and free up capacity before doing more data entry, because work saved after this point may not be stored.

Why it happens

The most common causes are:

Free up disk space first

Check the free space on the drive where your company data lives, not just the C: drive. In a multi-user setup, that is usually the machine acting as the server. Delete or move old backups, temporary files, and anything else you can safely relocate, then try again. Aim for a comfortable margin of free space rather than a few megabytes, because Sage needs working room during saves and backups. If you are not sure which drive holds the data, the location depends on how your company was set up, and your system administrator or whoever installed Sage can confirm it.

Move the data to a drive with more room

If the disk is simply too small for a growing company, the durable fix is to relocate the data to a larger volume and reconnect Sage to it. This is a routine operation, but it must be done with Sage closed on every workstation and with a verified backup in hand, so nothing is left behind or orphaned.

Shrink the data itself

When the file has grown very large, archiving old years or removing historical data can bring the size back down. What can safely be removed depends on the file, its history, and your reporting and audit needs, so this is worth evaluating before acting. Our engineers can assess a large Sage 50 data file and tell you what a cleanup would and would not affect; there is no charge for the evaluation.

Check the backup location

If the message appears only when backing up, the target drive is the likely culprit. Point the backup at a location with ample free space, or clear old backup files from the destination.

If the data will not open afterwards

A data file that ran out of room mid-write can end up damaged, and it may refuse to open even after you free space. If that happens, do not keep retrying or reinstalling. Our Sage 50 / Simply Accounting database repair service recovers data from damaged Sage 50 files, and we can also convert Sage 50 to QuickBooks if you would rather move to a fresh company than keep growing the old one.

Next step

Make a safe copy of the company data right now, before anything else, while the file is still in its current state. Then send it to us for a free evaluation: we will tell you whether this is purely a space problem or a size limit on the data itself, what the repair or cleanup would involve, and you can decide from there with a no-obligation quote.
