Sage 50 is refusing to clear a reconciliation because deposit slips exist outside the statement's transaction list.
You are trying to clear or finalize a bank reconciliation in Sage 50, and instead you see:
It cannot be cleared because there are deposit slip details that are currently not included in the statement transaction list.
In plain terms, Sage 50 has found deposit slips that do not line up with the bank statement you are reconciling against. The software will not let you finish clearing the account until every deposit slip detail is accounted for in the statement’s transaction list. It is less an error than a guard rail: the program is protecting you from marking the account reconciled while deposits are still unaccounted for.
Why does this happen?
The usual cause is a mismatch between how deposits were entered and how the bank statement lists them. You may have recorded a deposit slip covering several receipts, while the bank cleared the individual amounts separately. Or the reverse: several slips were entered individually, and the bank shows one combined credit.
Date mismatches cause the same message. A deposit recorded in one period but appearing on the statement in the next will sit outside the transaction list for the period you are reconciling. Voided or adjusted deposits that were never fully removed from the reconciliation window produce it too.
Less commonly, the underlying data is damaged. If deposit details appear in the reconciliation window but refuse to clear no matter what you select, the file itself may be the problem.
How do you match the deposits to the statement?
Start by comparing the deposit slips in the reconciliation window against the credits on your bank statement, line by line. Group them so each statement credit corresponds to a slip or set of slips. In Sage 50, deposits entered as a single slip can be cleared against a single statement line; deposits entered separately need to be cleared together to match one combined bank credit.
Check the statement date range as well. If a deposit falls outside the period you selected, widen or adjust the range so the transaction list includes it. This alone resolves many cases.
What if a deposit will not clear at all?
If a deposit detail refuses to clear even though it matches the statement, note which transaction it is. Try clearing it from the deposit slip side rather than the reconciliation window, if your workflow allows it. If the behavior persists, the reconciliation data in the file may be damaged, and no amount of re-selecting will fix it.
