Sage 50 Error: "An error occurred while clearing inventory tracking data

Sage 50 failed partway through purging your inventory tracking records, which usually points to damaged inventory tables or a locked company file.

The message “An error occurred while clearing inventory tracking data.” means Sage 50 tried to delete the records behind your inventory tracking and stopped partway through. This typically happens when inventory tracking is being switched off in company settings, or when a cleanup, archive, or conversion asks Sage to purge the inventory tables first. The wording sounds like a routine housekeeping step, but a failed purge almost always means one of two things: the inventory tables themselves are damaged or internally inconsistent, or something outside Sage is blocking writes to the company file. The file is usually left with the inventory data still in place and the setting unchanged, and repeated retries rarely help, so stop retrying and work through the steps below in order.

Back up before you touch anything

Use File > Back Up and store the backup somewhere other than the company data folder. A half-finished clear leaves the file in an unknown state; a backup taken now freezes that state so nothing you try afterwards can leave you without a way back.

Restore a pre-attempt backup if you have one

If a backup exists from before you first tried to clear inventory tracking, restore it with File > Restore under a new company name and test inventory there. This is the cleanest outcome: you get a consistent file, and you can decide later whether to retry the clear on a copy rather than on the live data.

Run Sage 50’s own maintenance tools

In Sage 50 US (the Peachtree product) the built-in tools sit under the File menu in most releases: Check for Problems, an integrity check that reports damage, and Data Verification, which can attempt fixes. Run Check for Problems first and write down what it reports, then run Data Verification with the repair option and try the clear again. In the Canadian product (Simply Accounting) the equivalent maintenance tool is named differently depending on the release, so use whichever integrity-check option your File menu offers rather than guessing. If these tools report errors they cannot fix, the inventory tables are the problem, not your procedure.

Retry with the file exclusive

The clear can fail when something else holds the company file open: another workstation, an overnight backup or sync job, or real-time antivirus scanning the data folder. Have every user log out, close Sage on the other machines, temporarily exclude the company data folder from antivirus scanning, confirm your Windows account has full read and write rights to that folder, and check that the drive is not nearly full or reporting errors. Then retry once, from the machine where the file physically lives if you are on a peer-to-peer setup.

Test on a copy, not the live file

Restore your backup into a separate test company and repeat the operation there. If it fails on the copy as well, with the file exclusive and the maintenance tools already run, the damage is in the data itself and no amount of retrying will clear it.

When the file needs professional repair

At that point the inventory tables need rebuilding, which the in-product tools cannot do. We repair damaged Sage 50 and Simply Accounting databases, and if the reason you were clearing inventory tracking was to prepare a move to QuickBooks, we handle that conversion too. An evaluation of your file is free, and both cost and timing depend on what the evaluation finds.

The most useful next step right now: make the backup, run Check for Problems, and keep its report. It tells you whether the damage is confined to inventory or runs wider, and it is the first thing any repair engineer will want to see.
