How many users can I keep after downgrading Sage 50 Quantum to Pro?
Usually only one: Pro is the entry Sage 50 edition and seats a single user in most releases, so extra Quantum logins have to go unless you choose Premium.
Not many. Pro is the entry edition of Sage 50 and carries the smallest user allowance of the three. In most releases it seats a single user, so a file coming down from Quantum almost always has to shed logins. If more than one person signs in regularly, Premium is usually the better landing spot.
How many users does each edition allow?
Quantum is the multi-user edition, built for large teams and heavy simultaneous access; dozens of seats is normal there. Premium sits in the middle and licenses a small team in most releases; five seats is the figure usually quoted. Pro is the entry point and commonly allows one user at a time. These allowances have shifted between release years and regions, so the licence you land on is the number that counts. We confirm it against your target edition before any work starts.
Count your active users before you decide
Open the users list inside your company file and separate current users from historical logins. Files that ran under Quantum for years tend to collect accounts for staff who have long since left, plus logins made for one-off tasks. What matters is who signs in this month, not who ever held an account.
That headcount picks the target. One active bookkeeper points to Pro. Two or more people working at the same time point to Premium, because stacking extra logins onto a single-seat edition simply does not work.
What changes in the file on the way down?
The books stay; the edition changes. A downgrade is designed to keep your lists, transactions, and history while the feature set shrinks. The user list is the part that must fit the new edition: logins above the allowance come out, and the security settings attached to them go with them.
A single-seat Pro file also means one permission set, so any role separation you built under Quantum disappears unless you step down to Premium instead. Exactly how the trim is handled depends on the file, which is why our Sage 50 Quantum to Pro or Premium downgrade service begins with an evaluation rather than a fixed recipe.
The next step
Start with the headcount, then reach out for a free evaluation of your Sage 50 file. Send a backup and we will report how many user logins it holds, what your target edition allows, and whether Pro or Premium is the right fit. Cost and turnaround depend on the file, so both are quoted only after we have looked at it. Counting first avoids the most common mistake: landing on Pro and finding that the second user has nowhere to sign in.
