How do I prepare my Sage file before converting to QuickBooks?

Make a clean backup, note your exact Sage version and file size, and close the file before sending it so our engineers can evaluate and convert it accurately.


The most important preparation steps are straightforward: make a fresh backup of your Sage company file, note the exact Sage product and version you are running, record the file size, and close out of Sage so the file is not in use when you send it to us. Everything else depends on your specific file, and we will review those details during a free evaluation.

Make a clean backup

Before anything else, create a fresh backup of your Sage company data through Sage’s own backup function. Do not just copy files from the folder while Sage is running – a live copy can capture the database in an inconsistent state. Run the backup, confirm the backup file is a reasonable size (not zero bytes or suspiciously tiny), and store it somewhere safe. If you already have a recent backup that you trust, that may be sufficient, but a new one made the same day is always the safest choice.

Note your Sage version and edition

We need to know the exact product and version your file comes from – for example, Sage 50 US (Peachtree), Sage 50 Canada (Simply Accounting), Sage BusinessWorks, or Sage Intacct, along with the release year if applicable. Different Sage products store data in fundamentally different formats, so identifying the source correctly lets our engineers choose the right conversion path. If you are unsure of the version, check the Help or About screen inside Sage before you close it.

Record the file size

The size of your backup or company file helps us estimate scope and identify potential issues early. A very large file may need condensing before or after conversion, while an unusually small file may indicate missing data. Note the size in megabytes or gigabytes and include it when you send the file.

Close Sage before sending the file

Make sure all users are logged out and Sage is fully closed on every workstation before you create the backup or copy the file. An open or locked file can cause read errors during conversion and may require us to request a second submission.

What you do not need to do

You do not need to clean up, condense, or restructure your data before sending it. In fact, making major changes to your chart of accounts, customer list, or historical transactions right before a conversion can introduce inconsistencies.
