How do open credit memos and unapplied payments convert from Sage 50 to QuickBooks?

Open credit memos and unapplied payments should arrive as open customer and vendor credits; the exact treatment depends on the file.


Treat them as open balances, not history. In a proper conversion, each open credit memo and each unapplied payment arrives in QuickBooks as an open credit against the same customer or vendor. It is then ready to apply to the next invoice or bill. Exactly how each one is mapped depends on the file, so tally everything before the move and check it after.

Where the credits land

QuickBooks keeps both forms in one place. An open credit memo sits in the customer’s or vendor’s credit list, and a payment received but never applied to an invoice also shows there as an available credit. Neither should become a bare journal entry during the move, because a journal entry cannot be applied to an invoice later. If your converted file shows credits only as lump-sum adjustments, question that before posting anything new.

Clean up before you convert

Old credits are the usual source of trouble. A stale credit the customer will never use just adds noise to the new file. Before the conversion, decide for each one whether to apply it, refund it, or write it off, and record that decision. You can also leave everything open and let the conversion map each credit as-is; the choice is yours, but fewer open items means less to verify.

Do the totals match?

Verification is arithmetic, not inspection. In Sage, list each customer’s and vendor’s available credit, and note the count and the total. After the conversion, pull the same credit list in QuickBooks and compare. Every credit should exist, under the same name, for the same amount. Then compare aged receivables and payables totals between the two systems; a dropped credit shows up instantly as a mismatch.

Dates matter as much as amounts. A credit that arrives stamped with the conversion date instead of its original date will distort aging and customer statements. Check that each one kept its own date.
