Does payroll still work after downgrading Sage 50 Quantum to Pro or Premium?

Yes, with one thing to watch. Payroll data itself, the employee records, pay history and year-to-date figures, lives in the company file and comes through the downgrade. The subscription is separate: it is licensed on its own terms, so payroll may need reactivating before it will run again under Pro or Premium.
What stays with the file?
Employee records, past pay runs, year-to-date wages, and your payroll settings are all part of the company data. A downgrade changes which edition opens the file; it does not rewrite the books. That is how our engineers handle it in our Sage 50 Quantum downgrade service: the edition changes, the data does not. Before the file goes back, we check the payroll balances on both sides of the move. If anything in your file is unusual, a free evaluation will tell you before you commit to anything.
Does the payroll subscription carry over?
Not automatically, in most cases. Payroll runs on an active plan, and that plan is licensed separately from the edition. After the file opens in Pro or Premium, the payroll module may show as inactive until the plan is reactivated under the new licence.
Tax tables follow the plan: once it lapses, calculations stop using current rates. How the plan is packaged varies by edition and release year, so treat this as a licensing question rather than a data question. The records survive either way.
What may need reactivating?
- The payroll plan itself, under the Pro or Premium licence.
- Tax table updates, so the next pay run uses current rates.
- Add-on services such as direct deposit or electronic filing, where you use them, since these attach to the plan rather than to the data.
Editions also differ in the payroll features they include, and those differences depend on the release year. If your payroll relies on something specific, say so when you request an evaluation and we will check it against your file. Reactivate before the first pay run of a new tax year, since that is when current tables matter most.
Before you downgrade
Close out any open pay period and print year-to-date reports for each employee. Keep a full backup of the Quantum file. Then send us the file for a free evaluation: we will confirm what payroll needs under the new edition and quote the downgrade before anything changes. On the first pay run afterwards, compare year-to-date figures against those printed reports; they should match.
