The permission models do not match
Sage 50 decides access in its own terms, and QuickBooks decides it in different ones. There is no direct equivalent for most settings, so a converter has nothing accurate to map a Sage permission onto. Users and roles are therefore always a fresh setup, in any move between the two. That is a design difference, not a failure of the conversion.
Rebuild users once the data is in
Plan to create each active user again in QuickBooks, pick the right user type, and grant access there. Treat the rebuild as housekeeping rather than lost work. Logins for people who have left, and roles nobody has touched in years, do not need to be recreated. A shorter list with cleaner rights is a better starting point than a copy would have been.
What should you document before the conversion?
Write down who could do what in Sage 50 while the file is still easy to open. Cover who entered transactions, who edited earlier periods, who could see payroll or banking details, and who was read-only. Put the sign-in name beside each role and keep the list somewhere safe. After the move, the Sage file becomes your only record of that access map. The list then acts as the blueprint for the QuickBooks setup, so nothing gets forgotten in the changeover.
