Can I renumber or consolidate my Sage 50 chart of accounts during the conversion to
Yes. Both are possible: you can renumber in the account mapping step, and consolidate accounts before the move or merge them in QuickBooks after.
Yes, on both counts. A conversion runs your chart of accounts through a mapping step, and that step is where renumbering and consolidation happen. It is the natural moment to tidy the chart, because every account is being touched anyway. How far you can go depends on your file and on the history behind each account, so we review the chart before proposing a plan.
How does the mapping step work?
Each Sage account is matched to a QuickBooks account before it moves: the mapping sets the name, the number, and the type in the new file. The Sage number is a starting point, not a requirement. You can assign new numbers in the same table, and the conversion applies them as the accounts are created. The one hard constraint is type. A Sage account has to land on a QuickBooks type that suits it, and our engineers flag doubtful fits during every Sage 50 to QuickBooks conversion.
When should you keep the Sage numbers?
Often the better choice is to keep them. If staff, your accountant, or your bank already read the old numbers, renumbering only costs familiarity. Comparative reporting across the switch also reads cleanly when the numbers line up on both sides. Renumber only when the old scheme is truly in the way: duplicated ranges, inconsistent segments, or a structure the business has outgrown. If this is a redesign rather than a renumber, see our article on chart of accounts design for the decisions involved.
Should you merge before or after the move?
Both routes work, and the trade-off is control. Cleaning up on the Sage side first means the conversion maps a shorter, cleaner chart; what the old file will allow varies, so this is worth checking early. Waiting until afterwards means moving the chart as-is and merging once the data sits in QuickBooks. Both Desktop and Online can merge two accounts of the same type, and a merge cannot be undone. Subaccounts and mismatched types get in the way, so settle the merge list before you convert.
A sensible order of work
- List the Sage chart and mark each account: keep, merge, rename, or renumber.
- Settle the merges first, ideally before conversion, so the mapping table starts from the final chart.
- Put the new numbers in the mapping table so QuickBooks receives the scheme you want from day one.
- After the move, tie the QuickBooks trial balance to the Sage trial balance for the same date.
The practical next step is a free evaluation. Send us the company file or a copy, and our engineers will review the chart, flag what can be merged or renumbered, and propose a plan before any conversion starts. That review also shows what the chart will look like on the other side, before anything is committed.
