Can I convert Sage 50 payroll liabilities and tax payments to QuickBooks Payroll?
Sage 50 payroll history stays behind; only current balances come across, and QuickBooks Payroll needs full re-setup.
The short answer is no, not in the form you likely mean. A conversion carries the balances sitting in your Sage 50 payroll liability accounts on the cutover date. It does not carry the payroll history behind those balances. QuickBooks Payroll will not treat Sage’s old checks and tax deposits as its own records. It manages future pay runs and future tax payments. The past stays in Sage.
What a conversion carries
In a Sage 50 to QuickBooks conversion, the balances in your payroll liability accounts transfer as opening balances. That means the net amount you still owe for payroll taxes on the switch date appears correctly in QuickBooks. Each vendor, such as a state tax agency, comes across with the balance still owed to it. Tax payments already made stay where they are, in the Sage history.
What does not transfer is the detail behind those balances. Individual paychecks, each tax deposit, the split between the employer and employee share of FICA, and the wage base behind each contribution all remain inside the Sage file. QuickBooks receives a total, not the ledger that built it.
What QuickBooks Payroll needs from you
QuickBooks Payroll will not accept Sage 50 payroll items. Payroll items must be created again: federal income tax, Social Security, Medicare, federal unemployment, state withholding, and any local items your business uses. Each item has to map to the correct liability account so future tax payments land where the opening balance sits.
Employees also need to be set up again. Switch mid-year, and the amounts Sage has already recorded for each person have to be entered manually: year-to-date gross, tax withheld, and employer-paid tax. QuickBooks counts payroll only from its own first run. Without those year-to-date figures, the first year’s W-2 forms would be incomplete.
Where the old records stay
Plan to keep the old Sage file available. Tax payment history, wage base tracking, and the employee-side detail remain the record you go back to for audits. Keeping a read-only copy, or keeping the old file as a report source, is normal practice after a payroll conversion.
