How to Convert Sage 50 (Peachtree) Data to QuickBooks Desktop

Guide to converting Sage 50 (Peachtree or Simply Accounting) files to QuickBooks Desktop, covering backup, mapping, and verification steps.

Moving from Sage 50 to QuickBooks Desktop lets you keep your financial history while switching to a platform that many businesses find easier to use. The process involves preparing your Sage file, mapping lists and transactions, and verifying the result. We outline each step below.

Preparing Your Sage 50 Company File

Start by making a full backup of your Sage 50 company file, storing the copy in a safe location. Close all Sage 50 users and ensure no one is logged into the file. Run the Sage Verify utility to check for data integrity, fixing any issues it reports. Update your chart of accounts to remove inactive accounts that you do not need in QuickBooks. Rename any duplicate customer, vendor, or item names to avoid conflicts during import.

What Data Moves During the Conversion?

QuickBooks imports your chart of accounts, customer list, vendor list, and item list from Sage 50. Open invoices, bills, and purchase orders transfer as open transactions, preserving due dates and amounts. Historical transactions such as paid invoices and cleared checks move as historical records, retaining original dates and amounts. Payroll transactions, inventory quantities, and multi-currency details may not carry over and often require manual setup in QuickBooks.

Running the Conversion Process

Export your Sage 50 data to a comma-separated values (CSV) file using the built-in export utility. Choose the destination folder for the CSV files and give each a clear name, such as Sage50_Accounts.csv. Open QuickBooks Desktop and select the Import Excel/CSV wizard from the File menu. Match each CSV file to the appropriate QuickBooks list or transaction type, following the on-screen prompts. Complete the import for accounts, names, items, and transactions, then let QuickBooks rebuild any related totals.

Verifying Your QuickBooks File After Conversion

Open the Chart of Accounts and compare totals with your Sage 50 trial balance for the same date. Run a Profit and Loss report and a Balance Sheet report, checking that figures match your expectations. Spot-check a few customer invoices and vendor bills to ensure line items, taxes, and amounts appear correctly. If discrepancies appear, return to the CSV files, adjust the mapping, and re-import the affected data. Once satisfied, make a fresh backup of your QuickBooks company file for safekeeping.
